Baptism Invitations: What to Include and When to Send Them

A baptism is your baby's first big day, and the invitation is the first thing to reach your family's hands. It's worth getting right.

In this guide: when to send them, what details can't be missing, how godparents are listed, and how to make a beautiful invitation with no designer and no waiting.

When Should You Send Baptism Invitations?

The practical rule: 3 to 4 weeks ahead. A baptism is usually a more intimate celebration than a wedding, so it doesn't need as much lead time.

Two exceptions matter. Tell the godparents as soon as you have a date — they may need to take parish classes and will want to hold the day. And if family is traveling from another state or country, give them two months to arrange flights.

Ask for R.S.V.P. confirmations one week before. You need that count for the food and the venue.

What the Invitation Should Include

  • The baby's name — full and large. It's their day.
  • The date — written out: "Saturday, April 18, 2026".
  • The ceremony time — and the reception's own time if it follows.
  • The church or parish — name and street address.
  • The reception venue, if different from the church. State it clearly.
  • The godparents' names — in Hispanic baptisms this is not optional.
  • The parents' names, if they wish to appear.
  • R.S.V.P. — a phone number or WhatsApp with a deadline.

Godparents Belong on the Invitation

This is the detail most often left off templates made elsewhere, and for our families it's one of the most important.

In Hispanic tradition, godparents aren't guests — they're part of the family formed that day. They walk with the child through their life of faith, and often carry much of the celebration's cost. Naming them on the invitation, on their own line, honors them publicly.

It's usually written simply, below the event details:

My godparents
Carlos Ramírez and Ana Lucía Ramírez

Digital or Printed?

The smart move is both — starting with digital.

The digital invitation goes out by WhatsApp to the family group and reaches grandma in Guatemala as fast as the next-door neighbor. No shipping cost, nothing lost in the mail.

The printed one becomes a keepsake — on the fridge, in the baby album beside the photo of the white gown.

Make one digital design, send it to everyone, then print 15 or 20 at any photo shop for the godparents and close family. Far cheaper than printing a hundred.

How to Make Yours with Your Baby's Photo

This used to mean paying a designer, waiting days, and paying again for every correction.

At Mercado Quetzal we created the Editable Digital Baptism Invitation with Photo: upload your baby's photo, type the name, the event details and the godparents' names, and the invitation builds itself right in front of you. Download instantly, ready for WhatsApp or printing.

3 Common Mistakes Worth Avoiding

1. Listing only the church name. Many parishes share similar names in the same city. Include the full address.

2. Leaving out the godparents. It's the detail most appreciated — and most noticed when missing.

3. Using a group photo. The circle needs a vertical or square photo, well lit, with the baby's face clearly visible.

A Day Remembered for a Lifetime

A baptism is one of those celebrations that gathers the whole family — those nearby and those who travel far. It's the day parents present their child to their own, and godparents say "yes, count on me."

The invitation is the first door into that day. Make it as beautiful as what it announces.
